Presentation Practice Room Procedures

It has been reported to Circulation that a library staff member was present while a student worker checked out the practice presentation room to a friend that wanted a room to study in.  The presentation practice room is only for students who actually need the equipment and are rehearsing a presentation.  This is not a study room and under no circumstances are you to check out or reserve the room knowing it will only be used as a study space.  Even if all the other reservable rooms are booked, you are not to let this room be used for purposes beyond presentations.  We are aware that patrons might abuse the system and lie, but it is unacceptable to hear that it is our staff perpetuating the issue.

We’ve blogged and emailed about it before, but I will remind you all again that the presentation room needs to be checked each night after the last reservation to make sure the projector is turned off, the tables are returned to their usual configuration (one in front, two tables in back) with the chairs pushed in, no items are left locked in the room (ex: mobile whiteboards), the lights are off and the door is locked behind you.  This step has been added to the closing checklist to help you remember to do this each night.  On Fridays and Saturdays when you are the only one working, wait until the Circulation desk closes at fifteen till and then go downstairs and check the space. 

All reservable rooms are only allowed to check out for 4 hours.  If students have used their room for four hours and there is no existing reservation at the end of their scheduled time, you may add a new reservation for two extra hours max.  Do not extend the current reservation since that will mess with our statistics.  Please do not allow a renewal until they have reached their four hour mark so others have the opportunity to place their own reservation if need be. 
 
It’s extremely important that we all present a united front on policies.  It can cause a lot of unnecessary frustration for patrons who come in and are told no when someone else has made an exception in the past.  I want us to all be consistent with enforcing this policy.
