How To: Recording & Filing Stats

 Since we have several new student workers I wanted to make sure everyone understands what we do for all the statistics that we keep up with.


Reference Stats

The person that opens should write down on the opening task clipboard the stats that are for the day prior. For Example: If you are opening on Friday, you will be recording the stats that were made for Thursday. After you record them on the opening tasks, take the Reference Stats from that day and file them behind the wall in the spot labeled "Reference Statistics". Then, you will log the stats into the binder that says "Circulation Statistics". Afterwards, fill out a new form for the current day to begin the stats for that day.

Please remember to log all phone calls. If they have any kind of questions about the library that will be logged under "Phone Reference". This also includes someone calling to book a room, ask about lost and found, ask about hours, etc. If they need directions it is logged under "Phone Directional."

The same rules apply for "Reference" and "Directional."

 Lastly, bring up the "Hourly" gate count for the prior day and print. (There should be 2 pages). You will file these in the blue "Hourly Gate Count" binder.

This is important because at the end of each month, I  have to record all the stats made into a file that is then submitted at the end of the year. This is how we keep up with how well the circulation desk is doing. It is important that these are accurate. While I was working on the stats for June there were 8 days and a total of 13 phone calls that were not logged.


Tex Share Stats

In addition to these, once a Tex Share application has been completed, you will then file it under "Filled Tex Share" Please remember to fill out the stats for when you place a Tex Share card in the binder. In the front of every month there is a stats paper where you will mark the date the Tex Share came in, along with if they were undergrad, grad, phd. cand, fac. or staff. You will also choose between if it was submitted online or if they were a walk in. If there was a walk in, you will need to make a copy of the application, shred the original and place the copy in the stats binder.

 --For the new students, if you are unfamiliar with this process please get with Kim or I and we can show you how its done. Once the process of the Tex Share card is complete, you will file it in the black binder titled ""Filled Tex Share"". They go in the binder by alphabetic order by last name.


Fax Stats

Every time you make a fax, please remember to record it in the "Fax Binder" located next to the fax machine so that I can keep count of how many each month have been done.


Laminating Stats

We keep the form that is filled out with the information on the lamination the patron received. After the patron has paid, they get the yellow receipt, while we keep the white receipt and the form. The form is kept underneath the cash drawer in a white envelop labeled "Lamination".
